For admins: Manage users and view details about license usage

Key takeaways

  • ATLAS.ti campus and multi-user licenses are managed through the license portal at my.atlasti.com, where administrators invite users and manage access. A video-guide for license admins is available here. For more help with setting up your multi-user or campus license, please click here.
  • Licenses operate with concurrent seats, meaning many users can be invited, but only a limited number can actively use the software at the same time.
  • License admins can restrict email domains, block users, and disable AI features for the entire license.

Who this article is for:

Administrators of an ATLAS.ti multi-user or campus license: The person who activates the license key, invites others to use the license, and manages license users in the ATLAS.ti account page my.atlasti.com (such as the head of a research team or department)

How to view active users and license seats

The Manage Users section shows all users who accepted your invitation. You can see:

  • Users who have accepted the invitation to your license
  • Currently active users (a license seat is occupied while a user has the application open)
  • Which platform each person is using (ATLAS.ti Windows, Mac, or Web)

For a detailed explanation of how seat allocation works, please see this article.

Restrict access to specific email domains

Use this setting to allow only users with certain email domains (for example, your university domain) to join the license.

  1. Go to Manage License
  2. Click the Settings icon (gear symbol)
  3. Find the Email domain restriction option
  4. Enter the domain(s) you want to allow (e.g., @university.ed)
  5. Save your changes

Only users with the specified domains will be able to access the license.

Block or unblock users

Blocking a user prevents them from using the license while keeping them in the user list.

  1. Go to Manage Users
  2. Find the user in the list
  3. Select the option to Block user

To restore access later, simply Unblock the user from the same page

Disable AI features for the license

Administrators can turn off AI tools for the entire license.

  1. Go to Manage License
  2. Click the Settings icon (gear symbol)
  3. Toggle Disable AI features

When AI is disabled, AI tools will not be available to any users under the license, including the administrator.

Sharing your license outside your organization

  • Licenses can be shared with users inside or outside your organization.
  • However, the license holder remains responsible for ensuring that usage complies with the Licensing Conditions.

Common issues and mistakes

Invited users say I (the admin) need to create their ATLAS.ti account

No, each person must create their own ATLAS.ti account to accept the license invitation. If the invitation URL is shared, each person will be prompted to create their ATLAS.ti account upon clicking the link.

Users cannot access the license even though they were invited

This can happen if the user has not accepted the invitation yet or if all license seats are currently in use.

License seats appear occupied when no one is actively working

A seat remains occupied as long as the ATLAS.ti application is open. If users forget to close the software, the seat will still appear active.

Email domain restriction blocks legitimate users

If you enable email domain restrictions, users with email addresses outside the allowed domain will not be able to access the license—even if they were invited.

Blocking users by mistake

Blocked users remain visible in the Manage Users list but cannot use the license. If someone suddenly loses access, check whether their account was accidentally blocked.

Disabling AI features unintentionally

If AI tools are disabled in the license settings, they will not be available to any users, including the administrator.
